WPA Annual General Meeting 2024

Held on Saturday, 15 June 2024 at the Horowhenua Pétanque Club at 11:00 am

Confirmation of Minutes

The Minutes of the previous AGM (2023) had been distributed and were taken as read. The minutes were confirmed subject to Bruce Stephenson being recorded as the Club Delegate from Naenae and Bruce McDonald being recorded as an observer, not Graeme McDonald. Moved Kevin McFadgen, Seconded Graeme Morris Carried.

President's report

The President’s report has been distributed.. Kevin especially thanked Brian Smith, Claire Bradburn, Tony Simpson and Simon and Anne Grant. Kevin also congratulated those members who had been selected to represent the WPA and NZ. No questions were raised and Kevin moved the report be accepted. Carried.

Financial Report

The Financial Report has previously been distributed.

Michael queried the reported loss of $3500 over the last two years and some minor matters. Brian reported this mainly due to tournament revenue being lower. A term deposit was broken to recompense members who had incurred costs.

Claire and Brian advised that the Committee was aware of the losses and were watching the situation. We have $18000 in the bank. Tournament income was reduced through reduced numbers entering and the reduction from two to one day tournaments. The trophy and medals awarded should be meaningful and we do not want to reduce costs by cheapening them.

Kevin said that as a responsible organisation we will continue to monitor finances in future.

Tournament Report

Has been distributed. Kevin spoke to the report.

Claire said Hutt Valley Clubs often had to travel to attend tournaments and incurred accommodation costs. Now that Upper Hutt have additional pistes the WPA could consider more tournaments in the Hutt Valley.

Coaches Report

Graeme Morris reported that in 2023 there were 35 members in the training squad, most of whom attended all the training sessions. Over 40 members were interested in training for 2024. Graeme expressed gratitude to Otaki for making their pistes available.

WPA was 3rd out of 4 in the Tristar, held at Ashburton, and lost to Auckland in the Chanticleer, played at Manawatu. Tristar will be held in Wellington this year.

Election of Officers

One nomination received for each of President (incumbent, Kevin), Treasurer (incumbent, Brian), Secretary (incumbent, Simon). These officers were duly elected.

Appointments

Graeme stood for Regional Coach again and was the only nomination received. He was duly appointed. Claire B was the only nomination received for the new position of Assistant Regional Coach, and was appointed. Nominations were called from the floor, but none received. Claire was duly appointed. Claire and Graeme will work together as a “coaching team”.

Anne Grant was reappointed as website coordinator.

Tournament Sub-Committee

Kevin spoke to the report, which had previously been circulated. There has been some minor tweaking in that some duties have been taken off the host clubs. Graeme Morris is the Tournament Sub-Committee. Claire B says there is too much for one person to handle and members should be volunteering to assist, particularly as she may drop off the perch at any time. Kevin said she is not allowed to.Val, Paul and Claire B volunteered to help out as required. Val offered to do the paper work.

Affiliation Fees

Affiliation Fees remain the same as previous at $2 per player.

General Business

Claire B said we need more umpires and an umpiring co-ordinator, if possible. Nadine from PNZ has offered to run an umpiring seminar, presumably on-line. Our umpiring coordinator among other duties would liaise with Nadine. Kevin has in mind possible candidates for the role.

Claire B thanked the outgoing committee and Club reps at the Zoom Meetings.

T-shirts were presented to Christine for winning the woman’s singles and Mary, Adrienne and David for the triples.

The draw for the next round of the JC Trophy was held. Upper Hutt were not included because they are the present holders. Results of the draw, in order of playing.
